1. Group Course Structure

1.1 The course includes 8 lessons. Each lesson is 1 hour and 30 minutes.

1.2 The course runs for 4 weeks.

1.3 Total learning hours are 32 hours. This includes 12 hours of live classes and 20 hours of guided self study.

1.4 Classes take place at fixed days and times each week. Once the schedule is agreed, it cannot be changed.

1.5 Course fees depend on level and schedule. The confirmed fee will be stated in your course offer message.

2. Group Course Registration and Level Placement

2.1 All students complete a free level check before joining a course.

2.2 Placement is based on your level and your availability.

2.3 Students must be 18 or older to join a course.

2.4 Late entry to a course is allowed only in Week 1, full price still applies.

3. Minimum Number of Students

3.1 A course will only begin when at least 4 students confirm their participation.

3.2 If fewer than 4 students confirm, the course may be postponed. In this case you will be offered the next available start date.

4. Payment and Refunds

4.1 Once a group of at least 4 students has agreed to begin, the course fee is due.

4.2 Payment is requested and must be completed on the Thursday before the course begins.

4.3 Payment can be made by bank transfer, credit card, iDeal or Tikkie. Instructions are sent by email.

4.4 Once payment is made, the fee is not refundable.

4.5 If you cannot attend due to illness, injury, or family bereavement, and you provide a supporting document, your course fee may be transferred to a future course.

4.6 Transfers are offered at the discretion of Nicole Findlay Tutor and are not guaranteed.

5. Attendance, Sickness and Missed Lessons

5.1 Please attend lessons consistently and on time.

5.2 Lessons end at the scheduled time, even if you arrive late.

5.3 Attendance is registered at the start of each lesson.

5.4 A digital certificate of attendance is available for students who attend at least 70% of lessons.

5.5 Missed classes cannot be replaced. Please use the interactive materials provided to catch up.

5.6 If the tutor is unwell, the lesson will be rescheduled or taught by an approved substitute teacher.

5.7 If you need to pause attendance due to illness or personal circumstances, contact Nicole as soon as possible, proof may be required, no transfer is guaranteed.

6. Course Materials

6.1 Interactive course materials and presentations are included for your personal study only.

6.2 You may not copy, share, publish, resell, or modify these materials.

6.3 All materials remain the intellectual property of Nicole Findlay Tutor.

6.4 If materials are used or distributed without permission, the distributor will be responsible for damages.

7. Fluency Sessions

7.1 Fluency Sessions run once per week. Each session is 2 hours.

7.2 You may attend as a single drop in or purchase a package at a reduced rate.

7.3 Fluency package usage periods:

• 4 session package: four consecutive weeks

• 8 session package: within 3 months

• 12 session package: within 4 months

7.4 A minimum of 6 students is required for the session to run.

7.5 If fewer than 6 students are confirmed 48 hours before the session, the session may be postponed or cancelled. Your credit will transfer to the next session.

7.6 If a session is cancelled due to insufficient student numbers, the session credit is not lost and the usage period is extended.

7.7 Packages are always updated to reflect cancellations. You will not lose a credit if the session does not run.

7.8 Interactive preparation materials are provided before each session. These are for personal use only and remain intellectual property of Nicole Findlay Tutor.

7.9 If you purchased a session or package more than 48 hours before the session and the session is cancelled, you may transfer the credit or request a refund for that session credit.

7.10 If you purchase or reserve a session or use a session credit less than 48 hours before the scheduled time, the payment or session credit is non refundable. A credit transfer may be offered at the discretion of Nicole Findlay Tutor. This applies to single drop in sessions and packages.

7.11 If you miss a session without notice, the session credit is lost.

7.12 Fluency Sessions focus on speaking fluency, accuracy, pronunciation and confidence. They do not follow a fixed syllabus.

8. Bring a Pal Scheme

8.1 Group Courses

8.1.1   If you bring a friend who registers, both of you receive a 5% discount on the course fee.

8.1.2 The discount is confirmed once your friend completes payment.

8.1.3 Discounts accumulate for you, not for your friend.

For example:

Bring 1 friend = 5% discount

Bring 2 friends = 10% discount

Bring 3 friends = 15% discount

Bring 6 friends = a free course for you

8.1.4 The accumulated discount applies to one course only and must be used within 3 months. After use, the standard price applies unless further friends join.

8.1.5 Discounts cannot be exchanged for money or applied retrospectively.

8.2 Fluency Session Packages

8.2.1 The discount applies only when both you and your friend purchase a Fluency Session Package.

8.2.2 The same accumulation rules apply. The accumulated discount is applied to one Fluency Package purchase.

8.2.3 Discounts cannot be exchanged for money or applied retrospectively.

9. Public Holidays

9.1 Lessons do not run on public holidays and an alternative lesson date will always be offered.

10. Privacy and Recording

10.1 Screenshots, audio recordings, and video recordings require consent from all participants and the tutor.

10.2 Some lessons may be recorded by the tutor for learning and review purposes.

10.3 If you prefer not to appear in recordings, please inform the tutor before the course begins.

11. Online Lessons

11.1 All lesson times are given in Central European Time (Amsterdam time).

11.2 You are responsible for having a stable internet connection, working audio, and a suitable learning environment.

11.3 Please join from a quiet space where you can speak normally. Joining from cafés, shared offices, public spaces, cars, or while walking is not the best and may result in cancelling the session.

11.4 Try to keep your camera on during the session. If you prefer to keep your camera off for personal or accessibility reasons, please inform the tutor before the course begins.

11.5 If technical issues on your side prevent participation, the lesson cannot be replaced.

11.6 If technical issues on the tutor’s side cause more than 10 minutes of lost lesson time, the lesson will be rescheduled at no extra cost.

11.7 Lessons end at the scheduled time even if you join late.

12. Private Lessons Packages

12.1 4 Sessions of Private Lessons

• 4 private lessons, each 45 minutes

• Must be completed within 4 weeks of purchase

• General English only (not exam preparation)

• You may reschedule 1 session with at least 24 hours notice

• Late-cancelled or missed lessons are not refundable

• Payment confirms your booking

12.2 8 Sessions of Private Lessons

• 8 private lessons, each 45 minutes

• Must be completed within 12 weeks of purchase

• General English only

• You may reschedule 2 sessions with at least 24 hours notice

• Late-cancelled or missed lessons are not refundable

• Payment confirms your booking

12.3 12 Sessions of Private Lessons

• 12 private lessons, each 45 minutes

• Must be completed within 6 months of purchase

• General English only

• You may reschedule 3 sessions with at least 24 hours notice

• Late-cancelled or missed lessons are not refundable

• Payment confirms your booking

13. Exam Preparation Course 1:1 (Online)

13.1 Overview

• 8 private lessons of 1 hour and 30 minutes

• 2 lessons per week over 4 weeks

• Sessions are scheduled in advance after level check

• You may reschedule 1 lesson with at least 24 hours notice

• Late-cancelled or missed lessons are not refundable

• Once the course begins, the fee is not refundable

• A full refund is available within 48 hours of purchase if cancelled before the first session

• Payment confirms your booking

13.2 Test Retake and Remark Guarantee

13.2.1 This guarantee applies to IELTS Academic, FCE, CAE and LanguageCert exams, where a formal score report is issued and where a remark or a single skill retake is available.

13.2.2 At the end of the course you will receive a clear predicted score or grade for each skill. Predictions are based on assessed homework, mock tasks and tutor feedback. The prediction reflects the level the tutor confirms you can realistically achieve.

13.2.3 If your official exam result for any skill is a full band score (IELTS) or grade level (FCE or CAE) lower than the predicted result, Nicole Findlay Tutor will cover the cost of one of the following, depending on what the exam provider offers:

• a single skill retake, or

• a remark of your exam, if you believe your performance was stronger than the result received.

13.2.4 The guarantee applies only when all of the following conditions are met:

• You completed all required homework.

• You responded to tutor feedback and made the recommended changes.

• You attended all scheduled lessons or completed the agreed replacement session.

• You submitted practice tasks on time, as these inform the predicted score.

• You sat the exam within 6 weeks of completing the course.

13.2.5 You must first pay the full fee for the retake or remark directly to the exam provider. Once you provide the official receipt, Nicole Findlay Tutor will refund the documented cost within 14 days.

13.2.6 Proof of the official exam result must be sent by email within 14 days of receiving it.

14. Pay it Forward Donation

Some course places are provided free or at reduced cost to individuals with low or no income. These places are made possible through volunteer teaching and sponsorship. You may support another learner by purchasing a Donation Card. Your contribution goes directly toward funding a place on a course.

14.1 The donation is non-refundable.

14.2 The donation cannot be used as monetary credit for your own tuition.

15. Agreement

By purchasing or participating in a Group Course, Private Lesson programme, or Fluency Session, you confirm that you have read, understood, and agree to these terms and conditions.
